Documentation connections

Combine internal files, SFTP, SharePoint, Google Drive, Outlook mail, ReadMe docs and Zoho Desk tickets in one synced connection.

A documentation connection is a knowledge base built from one or more sources. Each source is a place Harmona reads from. An agent attached to the connection searches all of its sources at once.

Create a connection and add sources

  1. 1Go to Studio → Connections and click Create Connection.
  2. 2Pick the first source type: Internal Files, SFTP Server, SharePoint, Google Drive, ReadMe.com Docs or Zoho Desk Tickets.
  3. 3Fill in the form and click Create Connection.
  4. 4To add another source, open the connection and click Add Source. Enter a Source Name and choose the Source Type. Outlook Mail is added this way.

What you choose per source

  • SFTP Server: the Folder Path to sync. Provide either a password or a private key, not both.
  • SharePoint: the SharePoint Integration, the Site URL and the Folder Path inside the site.
  • Google Drive: under What to sync, choose My Drive, Shared with me, A Shared Drive or A specific folder. A team integration offers Shared Drives and folders only. Google Docs, Sheets and Slides are exported automatically.
  • Outlook Mail: the Connected mailbox, a Folder (all folders, Inbox, Sent, Archive or another folder), the Initial window (days) and Max messages per sync. Each message is indexed as subject and body with a link back to Outlook.
  • ReadMe Docs: the Branches (versions) and Sections (Guides, API reference, Changelog, Custom pages), and whether to Include unlisted pages. Citations link to your public docs.
  • Zoho Desk Tickets: Departments, Ticket statuses (closed tickets are the resolved cases worth learning from), History window, Maximum tickets, Include conversations and Redact customer identity. Citations link back to the ticket.

Mailbox, ReadMe and Zoho Desk sources are read-only. Nothing is written back to the mailbox, the docs or the help desk.

Warning

Give an SFTP source a least-privilege account: read-only, and limited to the folder you want synced. Harmona needs nothing more.

Syncing

Synced sources re-sync on your organization's sync interval, once a day by default. New and changed items are processed again. Items that leave the scope, such as deleted files or tickets outside the history window, are removed. Changing the scope of a ReadMe, Zoho Desk or Outlook source starts a new sync.

Click Sync Source to sync one source now. A source marked Reconnect required is no longer linked to a connected account. Edit it and choose the account it should sync with.

Personal or team account

Personal accounts are tied to one person. If they disconnect the account or leave the workspace, sources built on it stop syncing. Use a team integration for knowledge the whole team relies on. See How integrations work.
