Users and roles
Invite people to your workspace, choose between the Admin and User roles, and handle pending invitations, expiry and extra seats.

Everyone in a workspace is either an Admin or a User. The person who created the workspace is its Owner. Admins manage people under Management → Users.
Roles
| Role | What they can do |

| Owner | Everything an Admin can do. On cloud plans, only the Owner sees Management → Account: the plan, payment details, credits, invoices and coupons. The Owner role can't be changed. |
| Admin | Everything a User can do, plus the organization itself: members, usage, Business Impact and organization settings. Admins also create API keys for agents. |
| User | Builds and runs their own Workers, agents, workflows and connections, shares them with teammates, and works with whatever is shared back. |
Users who aren't admins find a Users directory at the bottom of Studio, so they can see who to share with. On single-seat plans such as Individual, there is no Users page.
Invite someone
- 1Go to Management → Users and select Invite User.
- 2Enter the person's email address. The username is optional; if you leave it empty, the email address is used.
- 3Choose Admin or User, then select Invite User.
On cloud plans the person receives an email with a sign-in link. The link works once and expires after 15 minutes. If it has expired, they can sign in again from the sign-in page with the same email address. The invitation waits for them on the Workspaces screen.
Accepting an invitation
An invitation makes the person a member, but they can't enter the workspace until they accept. They select Accept Invitation on the Workspaces screen and then open the workspace. Until then, the Users list shows Invitation pending on their row.
Invitations expire after 14 days. An expired invitation shows Invitation expired in the Users list, and the invitee is asked to contact a workspace admin. To reopen it, choose Resend Invitation on their row. A resent invitation is valid for another 14 days.
Seats and extra seats
Each plan includes a number of seats, and pending invitations count toward them. When a cloud plan's seats are full:
- If your plan allows extra seats, the invite dialog shows Additional Seat Required with the monthly price. Select Invite & Add Seat; the seat is added to your next bill.
- If it doesn't, you see Seat Limit Reached. Upgrade the plan, or remove someone first.

Change a role or remove someone
- Edit a row to change the person's role. Email and username can't be changed there.
- Delete removes the person from the workspace. Anything they owned passes to the workspace Owner.
- What they have access to lists the Workers, agents, workflows, connections, integrations, training sets and skills the person holds. Most items open from there, read-only. To change access, use the item's own share dialog.
On-premises installations
On-premises, no invitation email is sent and the person becomes a member straight away. Harmona shows a temporary password, and you hand it over yourself. The person sets a new password at their first sign-in. If someone forgets theirs, an admin can generate a new temporary password with Reset Password. Seat limits don't apply on-premises.
