Tasks and delegation

Delegate work that runs unattended: schedules, modes decided at creation, steps, run now, reports, skipped actions and the work board.

A task is work you hand to your Worker to do without you. You describe the outcome, choose when it runs and decide once how it may act. Each run happens in the task's own conversation and ends with a report.

Create a task

Ask in the chat, for example “every Monday at 9, list what is due this week”. The Worker shows a Delegate a task card with the schedule; click Approve. To fill in the form yourself, click New task on the Tasks tile.

How a task acts

A task never stops to ask during a run. Your consent is given when you create it:

  • Auto acts without asking.
  • External only does in-app work on its own, but skips anything that leaves Harmona or deletes something. Skipped actions are listed in the report for your approval.

An Auto task acts with your access on every run, with nobody watching: it can send mail from your account or change records in connected apps. Start with External only, read a few reports, and switch to Auto only once the task does what you expect.

Some things a task never does, whatever the mode: change the Worker's toolbox, share access, create or change tasks, or change rules. A task runs as the member who created it, with that person's access. If that member leaves the Worker, the task pauses.

An Auto task also has a limit on automatic actions. When it is reached, the remaining actions wait on the board for your approval.

Runs, reports and controls

  • Each finished run sends a Task finished item to the creator's inbox. A failed run sends Task failed; after three failures in a row the task pauses and sends Task paused.
  • On the Tasks tile, use Run now, Pause, Resume, Edit, Open conversation or Remove task. Run now on a paused task runs it once without restarting its schedule.
  • Under the latest run, Skipped — needs your approval lists what an External only run did not do. Approve and do these runs the task once more, right away, to carry out exactly those actions.
  • Tasks added from a starter pack begin paused. Click Enable to start them; that is your one-time consent.

Jobs: tasks with steps

Add steps and the task becomes a job. The Worker works through the steps one at a time, run after run, and the job is done only when every step is. Each step shows Pending, In progress, Done, Blocked or Skipped. You can Mark done, Reopen or Skip a step yourself. When you hand a larger piece of work over in chat, the Worker may take it over as a job; the card says Taken over as a job and the result comes back to that chat when every step is done.

The work board

Click Open board in the Worker header to see all work in lanes. Drag a card onto a lane to act on it, or use its buttons.

Every card in Needs you can be dismissed. A dismissed card comes back if the tile fails again after recovering, or the task fails again.
