Key concepts
The words Harmona uses: Workers, agents and workflows, personal and team integrations, access levels, approvals, credits and knowledge sources.

Worker, agent and workflow
| What it is | Use it when | |

| Worker | A dashboard plus a chat, personal or shared. It keeps tiles, notes, rules and reminders, and runs tasks you delegate. | You want a place to follow and run a job day to day. |
| Agent | An assistant grounded in your data, with instructions, a model, knowledge sources, skills and tools. | People need answers from company data in chat, through the API or on your website. |
| Workflow | A process laid out step by step: a trigger, AI steps, conditions, actions and approval steps. | The same steps must run the same way every time. |
A Worker task is different from a workflow. With a task you describe the outcome in plain language and the Worker decides how to get there, using only its toolbox. With a workflow you define every step yourself.
Personal and team integrations
Integrations are the apps Harmona works in: mail, calendar, CRM, tickets, files. Most connect with one click through a secure sign-in window. Studio › Integrations groups them in three sections:
- My accounts: your own Gmail, Outlook, Drive and SharePoint. They are tied to you and act as you.
- Team tools: workspace credentials, such as the company's Jira, HubSpot or Zoho Desk. They keep working whoever comes or goes.
- Shared with me: other people's accounts they let you use.
When a connection stops working it shows Connection lost. Click Fix; if the saved sign-in expired, you are asked to sign in again with the same account. Only the owner of a personal account can reconnect it. See How integrations work.
Knowledge sources and integrations
Connections in Studio are knowledge sources: databases, documents, spreadsheets, drives and web pages. Harmona processes each source when you connect it, so answers are fast and cite where they came from. Integrations are apps Harmona reads from and acts in. In short: connections are what Harmona knows, integrations are where it works.
Access levels
Agents, workflows, connections, integrations, skills and training sets are shared with Share. Each person gets one level:

| Owner | Everything above. There is exactly one owner, and ownership moves only with Make owner. |
Org admins can always see that an asset exists; sharing decides who can use or manage it. Chats can be shared too, with view or use only, and admins do not see other people's chats. Workers have their own member list, described in Toolbox and members. The full rules are in Sharing and access.
Approval cards and approval modes
Before an assistant, Agent Mode or a Worker changes something, it shows an approval card that says exactly what will happen. You click Approve or Skip; a card with several actions also offers Approve all and Skip all. Each conversation has an approval mode, set from the chip in the chat header:

Workflow approval steps and other requests land in the Inbox, where you can also Reject or Request changes. Tasks that run unattended follow their own mode; see Tasks and delegation. The details are in Approvals.
Atención
Credits
Self-serve plans are credit-based. One credit is one thousandth of a US dollar of usage. Your plan includes a monthly allowance that pays for what Workers, agents and workflows actually do. Extra credits you buy roll over and are used only after the monthly allowance. Widget refreshes run without AI and cost nothing. Admins follow spending under Management › Usage.
