Approvals
How approval cards work, which actions count as outbound, and how the Ask every time, External only and Auto modes decide what waits for you.

When an assistant is about to change something, such as sending an email, creating a calendar event or updating a ticket, it can stop and show you an approval card first. The approval mode of the conversation decides which actions stop.
Approval cards
A card shows exactly what will happen: the recipient and text of an email, the fields of a calendar event, the change to a record. You decide:
- Approve runs the action.
- Skip declines it. The assistant is told the action was skipped.
When the assistant wants to take several actions at once, one card lists them all. Choose Approve or Skip for each row, then click Submit. You can add an optional reason when you skip a row; the assistant receives it. Approve all and Skip all decide the whole card in one click.
After you decide, the card stays in the conversation as a record of what was approved or skipped.
What counts as an outbound action
Harmona sorts every action that changes something into one of four groups. The mode decides which groups ask.

Reading does not ask. Searching documents, querying a database or looking something up in a connected app runs without a card in every mode.
The three approval modes
| Mode | What it does |

| Ask every time | Every action that changes something asks you first. This is the default for a new chat. |
| External only | In-app changes run on their own. Anything that leaves Harmona (mail, calendar, tickets, running a workflow), sharing and deletions still ask. |
| Auto | Nothing asks. Every action still leaves a receipt in the chat. |
Auto runs everything
Change the mode
- 1Click the approval mode chip next to the send button. It shows the current mode.
- 2Pick Ask every time, External only or Auto.
- The mode belongs to one conversation. A new chat starts on Ask every time unless you change the chip before sending the first message.
- Anyone who can use the conversation can change its mode. People with view-only access cannot.
- The same chip appears in assistant chats, in Agent Mode and in Worker chats.
Receipts
An action that runs without a card still shows up in the conversation. It is marked Ran without asking, with the mode that allowed it, for example Auto mode. You can always scroll back and see what was done on your behalf.
