Administration
Sharing and access
How owners share agents, workflows, connections, integrations, training sets, skills, Workers and chats, and what view, use and manage allow.
Документация доступна на английском и турецком, как и интерфейс Harmona. Эта страница показана на английском.
Everything you build in Harmona has exactly one owner: the person who created it. Nobody else can open, use or change it until the owner shares it. Sharing works the same way for agents, workflows, connections, integrations, training sets and skills. Workers and chats follow their own rules, described below.
Access levels
| Level | What it allows |
|---|---|
| Can view | See the item and its settings, read-only. |
| Can use | Put it to work: chat with an agent, run a workflow, or attach a connection, integration or training set to something you build. |
| Can manage | Everything in use, plus edit the item and change who has access. |
| Owner | Everything, plus hand the item to someone else. There is exactly one owner. |
Share something
- 1Open the item and select Share.
- 2Type a name or email in Add people by name or email…, or pick from People in your organization.
- 3Choose a level for each person: Can view, Can use or Can manage.
- 4Select Save.
Only the owner and people who can manage an item can change its list. Everyone else sees a read-only list of who has access. Remove access takes a person off the list. To hand an item over, the owner selects Make owner next to someone.
What admins see
Admins run the organization; they don't take over people's work. On Management → Users, What they have access to shows what each person holds, and most items open from there read-only. An admin can't chat with, run, edit or share someone else's item unless it is shared with them. The share dialog says so: "Org admins can always see this exists; sharing decides who can use or manage it."
When someone is removed from the workspace, what they owned passes to the workspace Owner.
Workers
A Worker is shared by adding members. Only members can open it, and its chat, widgets and notes are shared by all of them. Memory is the exception: each member sees only their own.
| Member role | What it allows |
|---|---|
| Owner | Everything, plus add and remove members, rename or delete the Worker, and make someone else the owner. |
| Can manage | Change the content: widgets, notes and layout. Approve the actions the Worker asks about. |
| Can view | Read everything in the Worker. |
Chats
A chat is private to the person who started it. Admins don't see chats. The owner can share a conversation with two levels:
- Can view: read the conversation.
- Can use: read it and reply in it.
A chat has no manage level, and its ownership never moves. The people you add can ask the chat's agent questions inside that conversation. After you save, Harmona asks whether they may also start their own chats with the agent. That is a separate choice for each person: Share the agent or Not now. If you aren't allowed to pass the agent on, they can use it only inside the shared chat.
Anyone a chat was shared with can Leave it. If the owner deletes a shared chat, it is removed for everyone.
Personal accounts
An integration connected with someone's own account, such as their Gmail or Google Drive, stays theirs. A colleague can use it only if its owner shares it. See How integrations work.
